Planning a wedding is one of the most exciting journeys of your life, but without a clear road map, the sheer volume of decisions can quickly feel overwhelming. From securing a venue and hiring vendors to finalizing seat charts and ceremony vows, a structured timeline is your secret weapon for staying organized, calm, and focused on what truly matters.
Breaking your planning down month-by-month ensures no detail falls through the cracks. Our Kentucky wedding venue has curated (from experience) an exhaustive, week-by-week and month-by-month checklist designed to guide you seamlessly through the 12 months leading up to your wedding day. Remember, these are all suggestions and your wedding should represent you.
*Due to the vast amount of extra bridal events, we have chosen not to include them in this list.

Phase 1: Your Unique Start (Months 12–10)
The first three months are all about setting your vision, establishing your financial boundaries, and locking down the cornerstone elements that determine your date and location. As fun as the other parts are, DO THESE FIRST!
Month 12: Vision, Budget, and Wedding Venue Selection
Celebrate & Reflect: Take a week or two to simply enjoy being engaged before diving headfirst into logistics.
Determine Your Total Budget: Sit down together (with AND without any contributing family members) to establish a firm total budget. Break this down into high-level allocations (e.g., venue, catering, floral, photography, attire). Make sure you know exactly what you want before talking to your family. The best advice we can give you is, “if you don’t want their advice, don’t ask!”
Establish Your Core Priorities: Decide on your non-negotiables, would-like-to-haves, and things you could live without. Is it exceptional photography, a stunning setting, or incredible food? Knowing what matters most helps you allocate funds wisely.
Draft the Initial Guest List: Create a Preliminary Guest Count. Your guest list directly impacts your venue capacity and overall catering costs. We can not stress enough — your guest list is the difference between a $2K wedding and a $20K wedding!

Lock In Your Date & Venue: Secure your venue contract and pay the initial deposit. Once your venue is booked, your official wedding date is set.
Month 11: Priority Vendors & Kentucky Wedding Aesthetic
Hire a Wedding Planner/Coordinator: If your budget allows, hire a full-service planner or month-of coordinator early so they can guide vendor choices.
Secure Your Photographer & Videographer: High-demand wedding photographers often book 12 to 18 months out. Review full galleries, ask about their shooting style (documentary, fine art, traditional), reach out to their previous clients, and lock down contracts.

Start Catering Consultations: Research caterers who fit your style—whether that is a plated dinner, family-style feast, or interactive food stations. Remember, you can also just serve cake and punch, especially for a mid-afternoon wedding.
Month 10: Attire Shopping & Engagement Sessions
Eek! Begin Wedding Attire Shopping: Wedding dresses, custom suits, and formalwear can take 4 to 8 months to be produced and delivered, plus extra time for alterations. Start trying on styles early. Most bridal companies will send you swatches for your bridal party to finally see those pretty colors all together in person.
Book Your Engagement Photo Session: An engagement session helps you get comfortable in front of your photographer's camera before the wedding day.
Hire Your Caterer & Officiant: Confirm your catering team and select an officiant (or ask a trusted friend/family member to become ordained).
Establish a Wedding Website: Launch a simple website featuring venue details, hotel block information, and basic FAQs for guests.
Phase 2: Your Design & Details (Months 9–7)
With the major pillars established, you can move into defining the look, feel, and guest experience of your celebration.
Month 9: Floral, Music, and Accommodations
Hire Your Florist: Meet with floral designers to translate your color palette into bouquets, arch installations, and table centerpieces. This would be a great time to bring those swatches!
Book Entertainment: Research live bands, DJs, or ceremony musicians. Discuss setlists, sound equipment setups, and special song requests. Be very specific with your vision.

Start Your Wedding Registry: Register for items across a few price tiers to give guests a variety of gift choices. Ask for what you want!
Month 8: Save-the-Dates & Wedding Party Attire
Order & Send Save-the-Dates: Mail your save-the-date cards (or send digital equivalents), especially if hosting a destination or holiday weekend wedding. Using some wedding websites, guests can RSVP digitally, which helps encourage them to do so.
Select Wedding Party Attire: Choose attire styles, colors, and accessories for your bridesmaids, groomsmen, or attendants. Give them clear deadlines for ordering.
Book Rental Items: If your venue doesn't supply them, reserve tables, chairs, linens, dinnerware, glassware, tents, and lounge furniture.
Confirm Hair & Makeup Artists: Book your bridal hair and makeup team and reserve time slots for your wedding party.
Month 7: Menu Tastings & Specialty Bluegrass Vendors
Attend Your Catering Tasting: Fine-tune your wedding menu, appetizers for cocktail hour, and late-night snacks.
Book Specialty Vendors: Reserve photo booths, specialty lighting, transport vehicles, or specialized rental installations.
Plan Ceremony Details: Begin drafting your ceremony structure, readings, musical cues, and unity traditions.
Phase 3: Logistics & Customization (Months 6–4)
During the mid-point of planning, logistics take center stage. You will begin finalizing custom stationery, scheduling fittings, and locking down day-of timelines.
Month 6: Invitations & Wedding Cake
Design Invitation Suites: Work with a stationer or custom designer to create your official wedding invitations, detail cards, and RSVP envelopes.
Book Cake & Dessert Vendors: Schedule cake tastings. Decide on cake flavors, exterior finishes, and alternative dessert stations (e.g., pie bars, donut displays, pastry spreads).
Schedule Hair & Makeup Trials: Test out your ideal wedding day hair and makeup styles with your chosen artists. Trials are also great to do before your engagement photos, so you see how it looks in pictures.
Shop for Wedding Bands: Choose and order your wedding rings, allowing time for custom engraving or resizing.
Month 5: Transportation & Honeymoon
Book Transportation: Reserve shuttles or buses to transport guests between hotels and the venue, as well as getaway vehicles for the couple.
Plan Your Honeymoon: Research destinations, book flights, reserve accommodations, and ensure passports are up to date. This is usually a last-minute thought, so doing this early will prevent mishaps during your time away.
Finalize Floral Designs: Review floral mockups or revised proposals with your florist to stay within budget while matching your design vision.
Month 4: Attire Fittings & Rehearsal Dinner
First Attire Fitting: Attend your first professional alteration appointment. Bring your wedding shoes and undergarments to ensure correct hem measurements. Again, make sure to book this early. Seamstresses are very busy, especially during formal seasons.
Plan the Rehearsal Dinner: Choose a location for your rehearsal dinner or welcome gathering, reserve the space, and draft the guest list.
Order Ceremony Accessories: Purchase your guest book, ring pillow/box, flower girl baskets, and personalized vow books.
Phase 4: Final Adjustments (Months 3–1)
As the wedding day approaches, focus shifts from big-picture decisions to execution, communication, and tracking responses.
Month 3: Mail Invitations & Day-of Timeline
Mail Formal Wedding Invitations: Send out your invitation suites. Set the RSVP deadline for 4 weeks prior to the wedding day. Plan for cute stamps, too!
Draft Day-of Timeline: Build a detailed master timeline covering vendor arrival times, hair and makeup schedules, photography blocks, ceremony start, dinner service, and breakdown.

Apply for Your Marriage License: Research county clerk rules regarding marriage license application windows, required documentation, and waiting period. Be prepared to spend a fee, too.
Finalize Rehearsal Dinner Invitations: Mail invitations for the rehearsal dinner and welcome event.
Confirm Vendor Logistics: Share your draft day-of timeline with all vendors to confirm load-in requirements and power needs.
Month 1: Seating Chart & Final Details
Finalize Seating Chart: Once all RSVPs are in, assign tables and design your seating chart, escort cards, or place cards.
Final Attire Fitting: Do a final dress or suit fitting to ensure everything fits perfectly.
Submit Final Counts: Send final guest counts to your caterer, venue, rental company, and cake designer.
Assemble Favors & Welcome Bags: Prepare welcome bags for hotel guests and assemble wedding favors or signage.
Phase 5: The Final Countdown (Weeks 2–1)
With all major tasks completed, the final weeks are dedicated to organization, payments, and relaxing before your big day.
